AI-assisted scheduling and route optimisation
Starting point
The company looks after a large base of maintenance contracts. The technicians' routes were already planned carefully, with experience and standard software. But as the contract base grew, the old planning hit its limits. Too many combinations of customers, technicians, time windows and travel routes to solve optimally by hand or with simple rules. On top of that came the effort of agreeing each appointment with the customer one by one.
Challenges
- Each technician starts somewhere else, has their own qualifications and fixed appointments.
- Customer wishes, maintenance duration and travel times all have to fit at the same time.
- The contract data sits in the existing industry software.
- The company wants to control when and how many appointments are handed out.
- Customers are hard to reach during the day.
Solution
Curavani uses current AI models and modern optimisation algorithms. They work out the best routes for all technicians together and take into account starting point, travel times, maintenance duration, qualifications and existing appointments. Each customer gets a personal email with a booking link. They only see time slots that fit the optimised route. If a customer cancels, the system recalculates and fills the gap. Booked appointments land automatically in the industry software, and a reminder goes out the day before.
Result
- Noticeably more efficient routes than with the old planning.
- Less travel time, more maintenance visits per technician per day.
- Maintenance is fully scheduled instead of postponed.
- No more agreeing appointments by phone in the office.
